Account Payable Specialist

Department Mission
  • The finance department plans, organizes, leads, control and monitors the activities of the two programs: accounting and revenue management. Developing and implementing efficient and effective financial policies, planning and reporting systems that assure the company's long-term fiscal health.
  • The role is to manage, facilitate, organize, distribute, and payment of invoices and provides basic monthly reporting.
  • Assisting AP team
  • Day-to-day decision making upon strategies
  • Negotiate with vendors
  • Monitoring and Oversee financial data
  • Maintain proper invoice workflow
  • Receive, review and distribute electronic invoices to responsible parties for payment
  • Receive, review and distribute paper and email invoices
  • Monitor invoices for timely payment and reach out as needed
  • Assist with solving disputes such as price-differences, incorrect specified invoices
  • Maintain tracking and records of invoices, contact information, disputes, etc.
  • Assist vendors with electronic invoice registration and problems
  • Facilitate creation of new vendors prior to submitting a purchase
  • Encourage existing vendors to register for electronic invoicing
  • Manage use and payment of corporate card
  • Enforce proper rules and regulations
  • Reconcile credit card payment and statement and resolve difference
  • Routinely communicate with vendors and employees about invoicing requirements, updates, etc.
  • Create monthly provisions report to outline outstanding invoices
  • Reach out to vendors as needed
  • Reach out to responsible employees as needed
  • Bachelor's Degree in Accounting or related field
  • Experienced with MS Office suite, specifically Excel
  • Previous experience with AR/AP in a high-volume environment
  • Strong attention to detail with a dedication to accuracy
  • Self-starter, motivated, proactive, and enjoys working in a fast-paced start-up environment
  • Excellent verbal and written communication skills
